ABITEC’s manual sample ordering system depended heavily on specific employees. Website sample orders were manually sorted and distributed to the sales team, filtered by customer type, region, and product application—with numerous manual exceptions.
The company sought to automate these intricate, manual business rules to support future growth and free the sales and marketing team for higher-value work.
Defining the rules engine through deep business discovery
Switchbox collaborated with ABITEC’s sales and marketing team across four structured meetings to define the complete set of business rules governing their sample ordering system. We mapped criteria including country of origin, product type, assigned sales representative, and customer classification.
From this work, we designed a rules engine that could evaluate each request automatically—handling the majority of orders without human intervention while routing exceptions for review.
Automated rules engine streamlined approvals

The resulting website evaluates each sample request based on criteria such as country of origin, requested product, assigned sales representative, and other relevant factors to secure approval. In most cases, the sample can be automatically approved and sent to the manufacturing facility—significantly reducing staff time.
Following the development of the web application, ABITEC’s internal team recognized the potential of the collected data to enhance sales and marketing strategies. An interactive dashboard was developed to visualize this information.
1,803 hours saved with zero-touch ordering
The new web application has eliminated the need for a single person to manage all orders, removed human intervention on most orders completely, and significantly enhanced delivery speed. Customer communication has increased and the sales and marketing team has significantly more time.
In just 6 months: 87 samples per month processed, 1-2 hours saved per sample, 61 countries served, and 1,803 total hours saved.
